Introducing the Sage Intacct Integration

Your delivery system and your general ledger should never disagree. Yet for most services firms, they often do. Invoices get built in one system and re-keyed in another. Payments land in the accounting platform and take a week to reach the people managing projects. Reimbursable expenses sit in a spreadsheet somewhere between approval and the vendor bill. Every one of those gaps is a reconciliation problem that drags down company performance.

Today we're closing that gap with our announcement that Ruddr now integrates with Sage Intacct.

Sage Intacct joins QuickBooks Online, QuickBooks Desktop, and Xero as a supported accounting system in Ruddr; and it's the deepest accounting integration we've built to date.

What Is Sage Intacct?

Sage is the leader in accounting, financial, HR and payroll technology for small and mid-sized businesses. Sage Intacct is a cloud financial management platform for finance teams that have outgrown entry-level accounting software but don't want the weight of a full operational ERP. It sits squarely in the mid-market and is heavily adopted by organizations in the 20 to 1,000 employee range. Sage Intacct is especially well represented among professional services firms, nonprofits, SaaS companies, and multi-entity operators.

A few things set Intacct apart:

  • It's the only accounting platform endorsed by the AICPA. Sage Intacct is the AICPA's preferred provider of cloud financial applications, and remains the only solution to hold that endorsement. That's a large part of why it's so common among CPA firms and finance teams that put accounting rigor and auditability first.
  • Dimensional accounting instead of a bloated chart of accounts. This is Sage Intacct's signature idea. Rather than encoding every reporting cut into account numbers, it keeps the GL clean and tags each transaction with dimensions — entity, department, location, project, customer, vendor, item, employee, plus custom dimensions you define. The result is a P&L by project, by location, or by service line without ever re-coding the chart of accounts.
  • Native multi-entity consolidation. Intercompany eliminations, consolidations, and multi-currency are built in rather than bolted on, which is why firms operating several legal entities often adopt Intacct.
  • Finance depth without the bloat. Compared to large ERP platforms, Intacct provides focused financial sophistication, lower cost, and a faster implementation. Against smaller platforms, it's a clear step up in reporting, controls, and consolidation.

That profile is why the pairing works. Sage Intacct is an excellent financial system of record designed for mid-market firms. But, it is not where your team plans capacity, tracks billable utilization, manages project budgets, or runs delivery. That's Ruddr. The integration lets each system do the part it's best at, and keeps the two in agreement without anyone re-keying a number. 

What the Integration Does

Publish invoices to Sage Intacct

Build invoices in Ruddr from approved time and expenses on the Ready to Bill screen, then publish them straight to Sage Intacct. Email them to clients from Ruddr, optionally attaching an hours detail report or expense receipts.

You choose how transactions land in Sage:

  • Direct — invoices post as AR invoices against GL income accounts, credit notes as AR adjustments, and reimbursable expenses as AP bills.
  • Documents — invoices post as Order Entry sales invoices keyed to Sage items, credit notes as Order Entry credit memos, and reimbursable expenses as Purchasing vendor invoices. Sage's transaction definitions create the downstream AR and AP records, and Ruddr links to them automatically.

Firms that run revenue through Order Entry get the document flow; firms that post straight to the GL get the direct flow. Already-published invoices keep the flow they were created with, so changing the setting later doesn't disturb history.

Keep payments in sync

Payments applied in Ruddr post to Sage Intacct as AR payments, against the right deposit account for that currency and the mapped payment method. Payments entered in Sage Intacct flow the other way: Ruddr matches the Sage customer and the paid invoices to their Ruddr counterparts and creates the payment for you. Edits and reversals in Sage are reconciled too, so a payment that gets un-posted doesn't linger in Ruddr.

Neither team waits on the other, and neither re-keys anything.

Issue credit notes

Credit part or all of an invoice in Ruddr and publish the credit note to Sage Intacct, through the same direct or document flow you chose for invoices. Publishing a credit note posts its application against the invoice in the same operation, so the two systems never disagree about what's still outstanding.

Sync reimbursable expenses as vendor bills

Switch on expense sync and approved, reimbursable expenses are grouped by team member and currency and posted to Sage Intacct as vendor bills. Members are mapped to Sage vendors — and auto-created there if they don't exist yet — while expense categories map to Sage accounts or purchasing items.

The sync runs automatically every hour, and there's a Sync Expenses Now button when you need it sooner. An Expense Sync tab lists every run with its status, duration, and change count, and a sync log drawer shows the full detail. If a sync fails after a previously successful run, workspace admins get an email with the log attached — so an unmapped category is something you're told about, not something you discover at close.

Map once

Setup is a mapping exercise, and Ruddr loads the reference data for you directly from Sage Intacct. Each list has a Load from Sage Intacct action that auto-matches by name, and the settings page shows an "N of M connected" count per list so you can see what's left.

Connection-level defaults cover anything that isn't explicitly mapped, and an unmapped client is created as a Sage customer automatically the first time you publish an invoice for it. A newly added invoice item never blocks a bill run.

Built for multi-entity and multi-currency firms

Since multi-entity is one of the main reasons firms choose Sage Intacct, the Ruddr integration also leverages it.

During setup you choose which Sage Intacct entity to connect, and the connection picks up that entity's base currency. Any invoice, credit note, payment, or bill in a different currency is posted with an explicit transaction and base currency pair, using the correct exchange-rate date for back-dated transactions.

Workspaces with multiple accounting integrations enabled can connect several Sage Intacct entities at once and assign one to each Business Unit, exactly as can be done with QuickBooks Online and Xero. Ruddr keeps a single invoice from mixing projects that belong to different accounting instances.

Tax that follows your Sage tax solution

Ruddr reads your entity's tax configuration on connect and maps your Ruddr tax rates to Sage tax details, including the non-taxable detail that VAT entities require on every line.

VAT and AvaTax entities are supported in both flows. Advanced Tax and Simple Tax entities post through the documents flow, where Sage computes tax natively from the item. If a combination isn't supported, Ruddr tells you before the post rather than silently dropping the tax.

Changes in Intacct sync back to Ruddr

Sage Intacct webhooks keep Ruddr current when records change on the accounting side — an invoice edited or voided, a payment recorded or reversed, a vendor bill paid. The webhook setup drawer in Ruddr hands you the exact target URL, client ID, and payload templates to paste into Sage, and every inbound request is signature-verified.

Throughout the app, sync indicators show which records are in Sage Intacct and which instance they're in (if the workspace connects to multiple Sage Intacct instances). Every sync action is written to the invoice, credit note, or expense history, so there's always an audit trail. When something can't post, Ruddr surfaces a specific reason and a fix rather than a generic failure.

Getting Started

Setup is handled by a Workspace Admin under Settings → Integrations.

Sage Intacct authorizes Ruddr through a Web Services user, so there's no password to hand over: an admin in your Sage company creates that user and grants it access to the Ruddr client ID.

  1. Create the Web Services user in Sage Intacct and grant it access to the Ruddr client ID.
  2. In Ruddr, enter your Sage Company ID and Web Services User ID.
  3. Choose the Sage Intacct entity to connect to the workspace.
  4. Load your customers, items, tax details, and accounts from Sage, then confirm the mappings.
  5. Configure the webhook in Sage using the values Ruddr gives you.

Frequently Asked Questions

Can I run Sage Intacct alongside QuickBooks or Xero?

Yes, a workspace uses a default accounting integration, and additional integrations can be assigned to Business Units within Ruddr.

Do invoices have to be posted through Order Entry?

No. You choose per connection: direct AR and AP transactions against GL accounts, or Order Entry and Purchasing documents based on Sage items. Invoices already published keep the flow they were created with.

What happens if something isn't mapped?

Ruddr falls back to the defaults you configure (a default Sage item, income account, payment method, or tax detail) so a missing mapping doesn't block a bill run. Unmapped clients and members are created in Sage automatically, and anything that does need attention is flagged in the app and in the expense sync log.

Does this replace project accounting in Sage Intacct?

It complements it. Ruddr handles delivery — resourcing, time and expense capture, project budgets, utilization, and billing — while Sage Intacct remains your financial system of record. The integration keeps the two aligned.

Is multi-currency supported?

Yes. The connection carries your entity's base currency, and transactions in other currencies are posted with the correct currency pair and exchange-rate date.

How often do reimbursable expenses sync?

Automatically every hour once enabled, plus on demand with the Sync Expenses Now button. You set the date the sync starts from, so switching it on doesn't pull in years of history.
